If you are looking for insights and real-world experiences on how strict cancellation policies and long booking lead times impact domestic and international trips, ranging from cruises, wildlife safaris, and packaged tours, this editorial piece is for you.

Trip Protection Beyond Health Insurance for Overseas Travel

If you are currently having issues or wondering if canceling, postponing, or even rescheduling your summer trip in the next 12โ€“24 months still works, keep reading.

There is always an excitement about booking international trips until your trip gets cancelled for diverse reasons. In this latest editorial piece, I have spoken to different travel industry stakeholders to get real-life insights on how such cases are handled in a way that doesn’t impact traveler financial safety but also the business.

Most businesses have booking terms that require payment from the first day an order is placed. For some travelers, it is quite normal as they want to show their commitment to making the trip.

For others, while excited about the trip, are not sure if sending 40% or eve sometomes 60% of the total cost is a wise thing to do, particularly for trips commencing in 12 months. Whatever safety concerns on each side remain valid, as the travel and hospitality industry is usually caught in surprising moments, and that has been the case for years. COVID-19 is the most recent circumstance that has hard hit the sector for at least 2 or 3 years.

Some Travelers Want to Secure International Trips, But Hesitate Due to Diverse Concerns

Back in 2013, I remember two travelers who were excited about a trip to Rwanda, DR Congo, and Burundi, but who also had some concerns. This is why flexible booking terms usually do justice for both tour organizers and travelers.

โ€œa) Why is your deposit so expensive – 40% is not usual – most companies charge 10%?
b) How confident are you that we could get to the Congo? If we have to pay upfront for the gorilla trek & it does not happen, we could lose out on the cost of the permit. I would like to start the tour on 24th July, and Alana seems ok with this date too.

But we will confirm nearer the time, as I am also doing Madagascar, so I have to make sure the tour runs accordingly with those dates too. We both just came back from the summer holidays and are broke for now. But as soon as we get the 40% deposit together, we will contact you and confirm the dates and organise payment/bank transfer. Just pencil our date into your diary so you don’t forget us. Thanks again for all your time in organising this trip for us.โ€

Some Trip Cancellation Policies allow Rescheduling Tours, but Under Special Circumstances.

How have cancellation policies changed in recent years? Some tour operators choose to go beyond the booking terms, favoring flexibility.

I had a chat with one tour operator in Uganda whoโ€™s seeing the Ebola Outbreak starting to challenge the smooth summer business season. He shared a statement that I think resonates with other African safari industry professionals:

โ€I just received a cancellation notice for 10 guests who were arriving tomorrow from the USA due to their country’s restrictions! I suggest we print out the permit at least 3 days in advance for gorilla trekking, so that in case the guests choose to reschedule, it is easier. We are currently having many requests for rescheduling due to the US travel advisory concerning Ebola, which is not even escalating in Uganda, with only two cases formerly reported.โ€

Using Travel Insurance For Stricter Terms To Manage Risk and Flexibility

Trip cancellation insurance is often regarded as a must-add-on for overseas travels, but it also makes sense for domestic trips, particularly when it involves a few elements like flights, accommodations, and things to do. But How does the travel insurance companies judge what needs to be refunded and what has to be forfeited?

Weather conditions usually fall under the force majeure cancellation policies, but when does the insurance company gauge what the airlineโ€™s responsibility is, and what is unavoidable?

Two years of full-time travel have enriched her understanding of diverse cultures and cuisines, and now she is sharing that journey with us. Her goal is to help people see that there’s more to life than their own backyard.

Her first account on trip cancellation and refund policies is worth exploring.

“My domestic flight was cancelled owing to weather conditions, but I wasnโ€™t provided any hotel voucher, despite some other passengers traveling the same canceled flight getting hotel rooms. According to the explanation of the agent of the airline, these passengers were coming from international flights, whereas my trip was fully domestic. Thus, I could not get hotel accommodation.

My route falls under Canadaโ€™s APPR rules, and as it was considered beyond the airlineโ€™s responsibility, I was ineligible to receive either a hotel room or compensation for the delay. Passengers arriving from other parts of the world, such as Europe or any other destination, would have their rights guaranteed by either EU261 or the Montreal Convention, which allows for receiving hotels, among others.

This means that, on one hand, the airline adhered to the policy, but, from the perspective of a passenger, it might look somewhat inconsistent as different passengers received different treatment despite traveling the same route. But this is what travelers donโ€™t understand until something like that happens. Good thing I booked my trip using a credit card with travel insurance. My case required me to submit a cancellation document from the airline showing that the flight was cancelled due to weather conditions. Weather is covered under trip cancellation/trip delay insurance.”

Kate Lacroix, a FORA Certified Travel Advisor, had to cancel her Cruise with The Navigator of the Seas; their insurance carrier did not see my reason for canceling to be valid.

The question here is to understand how the cancellation policy affected her refund, rebooking options, or overall experience with the insurance carrier, and whether using travel insurance was helpful.

โ€œIโ€™m an agent who books personal travel on RC without CFAR and had to cancel the Navigator of the Seas cruise due to the unrest in Puerto Vallarta in March. The worst of the Sineloa crime spree appeared over, but because I was traveling with my youngest daughter and because it was her birthday, it did not seem like the prudent thing to do.

While I was refunded the extras I bought (meal packages, various upgrades), I had to forfeit the remaining $855 of the trip because the insurance carrier did not see my reason for canceling to be valid.

It was a hard lesson, but I had not counted on international political violence in a port city as a reason to have more comprehensive insurance. Lessons learned!

I booked this travel in the Fall of 2025 for travel in March of 2026โ€ฆso, an over six-month commitment to have it all lost. My plane tickets remain as credits.โ€

While some trips require a strict long booking time due to a series of arrangements the tour operator needs to put in place long before hand, some excursions and travel experiences seem to be flexible by nature.

Chef Karl Wilder, at The Chef Tours, has a different understanding of why booking windows are getting longer for many trips. He does food tours and works with a lot of food purveyors who demand advance notice and a fixed schedule.ย Have trip insurance and cancellation policies changed in recent years for food experiences in Paris?

They chose to operate on a much more flexible policy, which allows bookings to be taken within 24 to 48 hours for some tours. This seems to work well even on the “no cancellation plan” for Chef PJ’s Tour in Paris. He mentions that they adopt the no-show policy because Viator guests were filling the tours and then taking advantage of the 24-hour policy once they decided what they wanted to finally do. This would shred their schedule and cost them money, added Chef Karl Wilder. Among the factors driving stricter terms is travel insurance that allows clients to manage risk and flexibility if they cannot show up on the day of the booked experience.
