Think sending PDF tour itineraries means juggling tools and outdated systems? Before adopting new tour software, read this. Discover why your travel company’s real focus may lie beyond booking dashboards and payment automation.
If you run a travel company and have received a pitch like this one, you need to analyze it deeply. The last thing to do is to think that a solution is coming your way.
Generally speaking, entrepreneurs are well-positioned to identify any operational gaps that need to be filled.
Unless you are a hired consultant paid for the very specific role of identifying, very rarely will an outsider have a clear understanding of what a particular travel business needs to do or correct.
Yes, everyone can have an opinion about anything, but when it comes to operational decisions, only insiders know what and when changes are needed.
In this article, I will explore a pitch I received a few months back. I am sure a similar pitch has been sent to different travel companies.
This is no way to say, the pitch is unncessary but it may be for some travel business models.
Before continuing, here is the pitch landing in most travel companies’ inboxes.
“If you’re still sending PDF itineraries or juggling multiple tools to manage trips and collect payments, this quick video will be a game-changer for you.
👉 In just a few minutes, I’ll show you how our Travel Software helps travel companies like yours:
Build stunning, shareable itineraries in minutes.
Offer clients flexible payment options (card, bank, multiple currencies)
Automate payment plans, reminders, and booking management
Get paid faster—all from one dashboard.”
The above pitch is a real email from a real travel software company.
Now let’s look into it.
Sending PDF tour itineraries is not a Problem for Anyone.

“If you’re still sending PDF itineraries or juggling multiple tools to manage trips and collect payments, this quick video will be a game-changer for you.
When did sending a warm, human-written email welcoming a tourist into your destination become a problem? As far as my boutique travel company is concerned, I have seen positive outcomes.
The travel industry is a human-support reliant sector where humans get to know other humans through humans. Not to say tools are not important, but the number of tools causes total confusion and distraction.
Most travel business owners I know, or at least those I have worked with, do not need multiple tools to run their companies efficiently.
Managing trips doesn’t need tools. But the way, what does managing trips even mean? Does this mean communication with tour guides and clients?
How about getting all booking details done? Booking hotels and national park permits. A tour operator indeed has to manage a lot of details to get a trip run smoothly, but no single tool can simplify the whole role.
Could a single travel software be a solution to a multi-layer planning ranging from contacting hotels, yacht operators, national park management organizations, tour guides, clients,… all packed in one dashboard?
Anyone would believe so, simply don’t have any clue about tour operations.
As I speak from firsthand experience, managing a trip usually means leveraging human judgment to ensure no single detail is overlooked.
In other words, managing trips involves allocating the right role to the right person.
Travel Companies don’t have a Problem with collecting Payments.

I doubt if there is a single tour operator facing issues with collecting payments from clients who are ready to book.
There are multiple well-established payment platforms trusted by both clients and tour operators. In fact, most of those travel software companies integrate the very same payment platforms we use.
Why would you need travel software to use Stripe or PayPal, while the same platforms allow any business to write and send invoices?
Travel software builders who claim that allowing tour operators to offer clients flexible payment options (card, bank, multiple currencies) is an innovation simply miss the world of e-commerce.
As a tour operator, you are free to send and schedule invoices, allowing your clients to pay on mutually agreed terms. You don’t need travel software to feel you’ve upgraded to something.
Automating payment plans and reminders is already handled by Stripe or PayPal.
Get paid faster—all from one dashboard?
Booking trips is not a one-click thing. We are dealing with thousand dollars. It could mean a lot for a travel company selling tickets, but it is definitely not the same process for boutique travel packages or safari operators running multi-day itineraries.
A client who books a US$ 20,000 trip is not interested in paying quickly.
Another claim is about beautifying itineraries.
Building stunning and shareable itineraries in minutes is not a common issue.

As I said previously, sending a PDF tour itinerary that contains meaningful experiences is not a problem for anybody.
What does a stunning itinerary mean? Stunning documents have more to do with design rather than tour activities.
Shareable itinerary means nothing. By definition, a PDF(Portable Document Format) is a file format for capturing and sending electronic documents in exactly the intended format.
How could then an itinerary converted into a portable document format be a problem? In fact, most private and government institutions use PDF.
As long as you have captured the travel needs, you can always design an itinerary and send it with no delay to the intended recipient.
What matters the most in tour itineraries is not how they look but what they contain.
Clients want to see a sound schedule of activities that match their exact travel needs.
Who May Need Travel Software in Managing Trips
Technically, only entrepreneurs or operations managers know what and when they need what they need.
I won’t tarry on this subject. You may need to integrate software into your tour operations when:
You’re a travel or transportation business that sells high-volume tickets.
Managing museums, concert tickets, and park passes doesn’t require consulting a sales team.
In other words, the software will be a solution if you do business without speaking to your clients. Then you need a tool that will:
- Send instant confirmation
- That fills the human gap, a FAQs-integrated booking system.
- Generate a QR code
- Capture real-time booking status and availability.
Handling operations manually will slow growth.
Those who Don’t Need Travel Software May Shift Their Focus Elsewhere.
If you run a luxury travel brand or craft bespoke tour itineraries, your focus may be worth turning elsewhere.
Most travel software builders are pitching solutions for travel payment plans and group trip itineraries.
You may focus on building relationships with your target audience.
Working with a PR firm that conveys your brand message to different demographics and audiences.
Creating content that educates tourists about your activities. Most travel entrepreneurs promote their brands, rather than destinations. How will you be trusted as a go-to expert if you only advertise? Your marketing budget would be a great value if you allocate it wisely.
